4.1 Hide Teams from Personal Teams List

When users join a new Teams, it is automatically shown in the active teams list. Users (owners/members) can hide Teams to clean up the personal list and focus on the Teams users are active in.

1 On the Teams of the account @common.cpce-polyu.edu.hk, click the Edit icon.

2 Choose "Manage teams" to go to the list view.

3 Click the Eye icon to Hide / Show Teams on the personal view. It will NOT affect the view of other users (owners/members).

 

 


 

4.2 Channel Meeting : Schedule A Meeting

Creating a meeting in the Teams channel, the meeting event will be created in the Teams calendar of all the existing channel users.

1 Go to a Teams channel.

2 Click the arrow next to "Meet".

3 Choose "Schedule a meeting".

4 In the channel picker, double-check the selected channel.

Note Channels can’t be changed once the invite has been sent.

Note The meeting event will be sent to the Teams calendar and Outlook calendar of existing channel users. Users who join the channel after the meeting invitation sent will NOT receive the meeting event.

5 Set the meeting start time and end time.

6 For recurrence meeting, choose "Custom" for repeat.

7 Choose the repeat pattern : "Repeat every 1 week".

8 Choose the day(s) for repeat.

9 Set the end date for the recurrence meeting.

10 Press the "Save" button to confirm.

11 Input the meeting title.

12 Input the meeting details if any.

13 Press the "Send" button to confirm.

14 The meeting can be found on the "Teams Channel" for all channel users.

15 ** Only for Teams created by "School Data Sync" **
The meeting can be found on the "Teams Calendar" of existing Teams channel users only.

Note The meeting event will be sent to the Teams calendar of existing channel users. Users who join the channel after the meeting invitation sent will NOT receive the meeting event.

Note For users who joined the Teams channel after the meeting invitation sent, they can add the event to their Teams Calendar / Outlook Calendar by clicking the meeing > "View meeting details" > "Add to calendar".

16 ** Only for Teams created by "School Data Sync" **
The meeting can be found on the "Outlook Calendar" of existing Teams channel users only.

Note The meeting event will be sent to the Outlook calendar of existing channel users. Users who join the channel after the meeting invitation sent will NOT receive the meeting event.

Note For users who joined the Teams channel after the meeting invitation sent, they can add the event to their Teams Calendar / Outlook Calendar by clicking the meeing > "View meeting details" > "Add to calendar".

4.3 Channel Meeting : Meet Now

Creating an open meeting in the Teams channel, for all the existing channel users to join.

1 Go to a Teams channel.

2 Click the arrow next to "Meet".

3 Choose "Meet now".

4 Input the meeting title.

5 Check the device settings before joining the Teams meeting.

6 Click "Join now" to start the meeting.

7 As "Meet now" is an open meeting, teachers might "Invite people to join you" via Copy meeting link or Share via default email.

8 The meeting can be found on the "Teams Channel" for all channel users. There will be a "meet icon" next to the channel name and the conversation.

9 The meeting can be found on the "Activity" for all channel users. There will be a "meet icon" next to the conversation.

 

 


 

4.4 Channel Meeting : Meeting Recordings

For channel meetings, the meeting recordings will be stored in the folder called "Recordings" in the Files tab of the channel. All the channel users are able to access the recordings, by default, the channel members (i.e. students) are able to edit the recording. To revise the permission, please refer to 4.5 Channel Meeting : Meeting Recordings - Update Folder Permission.

1 Go to the "Files" tab of the Teams channel.

2 Go to the folder "Recordings" to access the recordings by all the channel users.

Note The permission of the "Recordings" folder is inherited from the owners and members permission in the channel (i.e. all owners/members/visitors enrolled in the channel will automatically have access to the folder). To check the permission, please refer to 4.5 Channel Meeting : Meeting Recordings - Update Folder Permission.

 

Channel users can also go to the conversation to access the meeting recordings.

1 Go to the "Posts" tab of the Teams channel.

2 Locate the post related to the meeting recording.

Note The permission of recordings are inherited from the owners and members permission in the channel (i.e. all owners/members/visitors enrolled in the channel will automatically have access to the folder). To check the permission, please refer to 4.5 Channel Meeting : Meeting Recordings - Update Folder Permission.

 

 


 

4.5 Channel Meeting : Meeting Recordings - Update Folder Permission

For the meeting recordings storing in the channel, the permission will be inherited from the channel permission that members (i.e. students) are able to edit the recordings. Teachers can go to SharePoint to check and revise the permission.

1 Go to the "Files" tab of the Teams channel.

2 Locate the folder "Recordings".

3 Click the Option icon.

4 Choose "Open in SharePoint".

5 On the SharePoint, click the "Channel Name" to go to an upper level.

6 Locate the folder "Recordings", click the Option icon.

7 Choose "Manage access".

8 Locate the "Teams members", click the Option icon.

9 Choose "Can view" to disable the edit permission for members (i.e. students).

10 Double check the permission of Teams members and visitors.
